Central Operations Co-Ordinator Dobbies Head Office, Melville Nursery, Lasswade, EH18 1AZ

Role Overview
We have an exciting new opportunity for a Central Operations Co-Ordinator to support the Head of Central Operations and H&S, based in our Central Support Offices at Lasswade.  This role will play a vital part in the smooth running of our Central Operations function which is the main link between our office and our stores.  

Duties will include:

  • First point of contact for all incoming calls, incoming mail and email enquiries.
  • Collation of data and information to produce daily, weekly and periodic store communications.
  • Gate-keeper of all inbound and outbound communications between the centre and our stores.
  • Assisting in the production of letters, reports, presentations, spreadsheets etc.
  • Arranging and coordinating meetings, venue bookings, equipment & refreshments etc.
  • Minute taking and distribution of all action points and responses from relevant operational meetings and conference calls.
  • Liaising with key stakeholders across all functions of the business to ensure accurate information, actions and tasks are issued to the stores in line with departmental deadlines.
  • Liaising with office and centre teams to ensure completion of tasks as required.
  • Booking and coordinating travel requests.
  • Processing and reconciling all invoices received for the central team.
  • Ad hoc administrative duties including support to the Retail Director.

The successful applicant must be able to demonstrate a high degree of computer literacy and have a meticulous, organised and pragmatic approach to their workload with a keen eye for accuracy. They must also be able to work on their own initiative as well as part of a team.  As an integral member of our team, you will ideally have a good understanding of the needs of the organisation, be able to form good working relationships at all levels and enjoy working in a fast paced, demanding and varied environment. 

Skills and Experience Required:

  • Ideally, previous experience of working within a retail office or store environment.
  • Strong interpersonal skills – can communicate articulately and effectively in writing and verbally.
  • Able to work collaboratively and build effective relationships.
  • Resourceful in their approach to resolving day to day operational issues and queries.
  • Highly organised with a flexible approach to work.
  • Resilient and resourceful with a ‘can do’ attitude with the ability to respond to reactive situations.
  • A high degree of integrity, confidentiality and commitment.
  • PC literate and a proficient user of the Microsoft Office Suite.
